What it's forChase arrears fairly and lawfully: NSW requires owners to be offered payment plans and given notice before debt recovery. StrataWorx checks those rules for you.
Who it's forAccounts officers and administrators. Strata managers and portfolio managers can usually view.
Before you start
- Your persona can record finance (Accounts officer or Administrator). Viewing only needs levy-arrears access.
Step by step
- Step 1: See who's behindFinance › Arrears and plans › Arrears lists each lot's Overdue amount, Days, the notices recorded (and which stage is due), its Payment plan status and whether Debt recovery Can start or is held back (with the reason).
- Step 2: Send the stage noticesDefault stages are 14 days (friendly reminder), 35 days (second reminder, interest now applies), 60 days (final notice) and 90 days (notice of intended debt recovery, 30 days). Send the letter through your usual process, then press Sent stage N to record it. The button records; it doesn't send.
- Step 3: Record a payment-plan requestPress Record a plan request. Enter the Lot, Date received, who it's from, the Instalment offered and How often, What the owner proposes and any Hardship circumstances. Press Record request. Owners can also ask through the portal.
- Step 4: Decide within 28 daysOn the Payment plans tab, Reply by shows days left. Press Decide. Approve with a schedule (amount, instalments, how often, first payment due) or Refuse, with written reasons (20+ characters). Then write to the owner: nothing is emailed automatically.
- Step 5: Track the planA plan is on track while payments cover every instalment due more than 7 days ago. Mark it Completed or Defaulted; a defaulted plan no longer holds back recovery.
- Step 6: Start debt recoveryOn the Arrears tab press Recovery and confirm. It's allowed only when something is overdue, no kept plan or pending plan request exists, and the notice of intended recovery was recorded at least 30 days ago. Otherwise it's logged as Held back with the reason.
Tips
- Arrears imported from another system are on the Imported list (Finance › Arrears and plans › Imported list); levies raised in Finance are tracked here.
- Change the stages, deadlines and hardship wording in Finance › Settings.
Common problems
Recovery says it's held back.
Read the reason in the Debt recovery column: usually a plan request waiting for a reply, or fewer than 30 days since the recovery notice.
Can I approve a single instalment?
No. Plans need at least 2 instalments by default (Settings › Fewest instalments).
