PropertyWorx connection for managing agents

Give a managing agency levy notices, building notices and repair updates for its lots, and take its common-property repairs.

What it's forManaging agents who use PropertyWorx pay levies from the owner's trust ledger, pass building notices to tenants and report common-property repairs. The connection does that without emails going back and forth, and the agency only ever sees the lots it manages.

Step by step

  1. Step 1: Create the keyIntegrations › API keys & webhooks › New API key. Name it after the agency (e.g. Harbour Realty PropertyWorx) and tick PropertyWorx connection. It carries read, write and the pwx scopes. Copy the key (shown once) and give it to the agency's PropertyWorx administrator with your StrataWorx address.
  2. Step 2: The agency connectsIn PropertyWorx › Settings › StrataWorx the agency enters your address and the key and presses Connect (v2). PropertyWorx registers its own webhook and links the lots it manages. The agency then appears under Integrations › PropertyWorx with its linked lots.
  3. Step 3: What they receiveWhen you raise levies, each linked lot's levy notice (amounts, due date, BPAY biller code and CRN, and the PDF) goes to that agency only. Announcements sent to a scheme with linked lots go too, except committee-only ones; AGM notices and owner-audience notices are marked owner-only. Nothing about other lots is shared.
  4. Step 4: Repairs they raiseCommon-property repairs from the agency arrive in the inbox (category Repairs, common property) with the lot and, if the agency chose to share them, the tenant's name and phone for access. Create a work order from the email as usual: the agency sees In progress, then Done when you finish it. Dismissing the email, or cancelling the work order, tells them it was declined.
  5. Step 5: Levy paymentsWhen the agency pays a levy notice from the owner's ledger, its payment reference appears under Levy payment advices so you can match the deposit. It isn't a receipt: the payment is receipted when it reaches the scheme's account.
  6. Step 6: Health, re-send and secretsEach connection shows its last call and test. Send test delivers a signed pwx.ping. The sync log lists every call and event; Re-send sends a delivery again (the agency ignores duplicates). Rotate secret issues a new signing secret, which the agency must paste in; rotating from PropertyWorx instead needs no copying. Unlink a lot to stop sharing it; Disconnect pauses the webhook (revoke the key too to stop all access).

Common problems

The agency says it isn't getting levy notices.

Check the lot is under Linked lots, the webhook is on, and the scheme's BPAY or bank details are set in Finance settings. Notices missed while the webhook was paused are sent by the next sweep (every few minutes) once it's back on.

Can the agency see other owners?

Through this connection it only gets the lots it linked. The key also has the general read scope (the strata roll), as the v1 connection did, so only give PropertyWorx keys to agencies you trust with roll access.
