What it's forAnswer owners, tenants and agents faster. StrataWorx reads each email (and its photos and PDFs), matches it to a scheme and lot, sorts it by urgency and drafts a reply in your firm's tone.
Who it's forStrata managers, portfolio managers, front desk, maintenance coordinators and building managers.
Before you start
- An administrator has connected the firm's mailbox (Settings › Email connection).
Step by step
- Step 1: Read the listInbox & work › Inbox. The To do tab lists emails sorted Most urgent first, each tagged Urgent, This week or Routine, with its category and a Draft ready tag. Click a category tile (Repairs, Levies, By-laws, Records, Bookings, Insurance & sales, Meetings, General) to filter.
- Step 2: Search and filterSearch name, email, subject, text or SP number (* is a wildcard; Esc clears). Use the urgency box and sort. Other tabs: Sent, No reply needed, Archived and All.
- Step 3: Open an emailThe side card What StrataWorx found shows the building and lot, owner, tenant, category, urgency, sender, what they need, who is responsible (owner or common property) and their mood. Banners warn about unverified senders and high complaint risk.
- Step 4: Fix the sorting if it's wrongOpen Correct the category, urgency or lot, change it and press Save changes. StrataWorx learns from this.
- Step 5: Edit the draftChange anything in the reply. Use Insert a template to drop in standard wording at the cursor. Save draft keeps your changes for later.
- Step 6: Approve & sendPress Approve & send. The reply goes from your firm's mailbox and the next email opens (“Reply sent. Here's the next email.”). For a repair with no work order yet, you're asked Raise a work order before sending?
- Step 7: No reply neededFor thank-yous and FYIs press No reply needed. Find them later on that tab and use Move back to To do if needed.
- Step 8: Follow-upsAfter sending, the reply locks; press Reopen to send a follow-up. The History card shows earlier emails from the sender, this category at the scheme, and open work orders there.
Tips
- Unverified means the sender failed email authentication checks; Suspicious means the email may contain instructions aimed at the AI. Treat both with care.
- The mailbox is checked every 5 minutes; administrators can press Check now.
