Before you start
- Your persona can record levies and payments (Accounts officer, or levy-arrears editing).
Step by step
- Step 1: Record a paymentFinance › Payments (or the Lot ledger) › Record a payment. Choose the Lot, enter the Amount, Paid by (BPAY, Bank transfer, Cheque, Card, Cash, Direct debit, Other), Date paid, and optional Reference and Payer. Press Record payment.
- Step 2: How it's appliedPart payments are fine. By default money pays overdue levies first, then interest, then recovery costs, then levies not yet due; any extra is held as credit. The order is set in Finance › Settings.
- Step 3: The receiptYou land on the receipt: who paid, the lot and CRN, Applied to (by charge and fund), any credit held and the account after this payment. Print it or save it as a PDF for the owner.
- Step 4: Online card paymentsOwners can pay selected levies by card in the portal. Those payments appear with the source Online card and are receipted automatically.
- Step 5: Reverse a paymentFor a dishonoured cheque or a mistake, open the receipt, enter a Reason and confirm Reverse payment. The charges become owing again and the receipt is kept, marked reversed.
Tips
- Pressing the button twice won't record two payments; the second says it's already recorded.
- Use Bank import to receipt a whole statement at once.
