What it's forShare the budget across lots by unit entitlement, post a levy to each lot's ledger, and give owners a notice with how to pay.
Who it's forAccounts officers and administrators. Strata managers and portfolio managers can usually view.
Before you start
- Your persona can record finance (Accounts officer or Administrator). Viewing only needs levy-arrears access.
- An approved budget for the year.
- Unit entitlements on every lot (lots without one are left out).
- BPAY biller code or bank account in Finance › Settings for the scheme.
Step by step
- Step 1: Open LeviesFinance › Levies shows Levy runs, Next due, periods raised this year and Lots levied.
- Step 2: Raise leviesPress Raise levies. Choose the Budget if there are several, tick the Periods to raise (raised ones are greyed out; the next is ticked), set the Notice date (today by default) and, for one period, an optional Due date.
- Step 3: Check the previewOpen Each lot's share for… to see what every lot will be charged. Each lot's share is the budget's spending × its unit entitlement ÷ total entitlement, per period. Rounding cents go to the scheme's rounding lot.
- Step 4: Notice periodOwners must get at least 30 days' notice (Settings). If the due date is too soon, raising is refused unless you tick Raise anyway if the notice period is short; only do that if you're sure it's allowed.
- Step 5: RaisePress Raise levies. A levy is posted to each lot's ledger for each fund.
- Step 6: Print the noticesOn the run press Notices. Each lot gets an A4 page with the owner, amounts, arrears or credit, interest terms, How to pay (BPAY biller code and CRN, or bank details) and the hardship statement. Press Print and choose Save as PDF to make PDFs.
- Step 7: Send them to ownersStrataWorx doesn't email levy notices from this page. Send the PDFs through your usual mail or email process. Owners also see their levy notices under Levies in the portal.
- Step 8: Void a run (if needed)To undo a run, enter a Reason to void (5+ characters) and confirm Void levies. Reversing entries are posted. If any levy in it has been paid, reverse those payments first.
Common problems
“Enter the lots' unit entitlements on the strata roll first.”
Edit the lots on the strata roll and add their unit entitlement, then raise again.
The notice shows a banner about BPAY or bank details.
Add the scheme's BPAY biller code or bank account in Finance › Settings, then reopen the notices.
Can I check the hardship wording?
Yes, and you should: the notice reminds you to check it against NSW Fair Trading's official text. Edit it in Finance › Settings.
