What it's forLet owners vote without attending, and stop invalid proxies being counted.
Who it's forStrata managers, portfolio managers and committee liaisons (anyone whose persona can edit meetings).
Step by step
- Step 1: Offer electronic votingOn Proxies & votes tick Offer electronic voting and set Voting closes (blank = 24 hours before). Only offer it if the owners corporation has resolved to allow it.
- Step 2: How owners voteOwners vote For, Against or Abstain on each motion in the portal, once per lot, and can change their vote until the cut-off. Opening the meeting closes pre-meeting voting.
- Step 3: Postal or emailed votesPress Record a postal or emailed vote to enter a vote you received another way.
- Step 4: Lodge a proxyPress Lodge a proxy: Lot, owner giving it, Proxy holder (a named person), what the holder is, optional alternate and Valid until. Tick Directed proxy and add the directions if the owner says how to vote.
- Step 5: Proxy rules are checkedHolders are limited (1 proxy in schemes of 20 lots or fewer, otherwise 5% of lots; co-owners don't count). Proxies are due by the meeting start, or 24 hours before for 100+ lots, and last up to 12 months. A new proxy replaces the lot's earlier one. Failures show “Proxy not accepted: …”.
- Step 6: Proxy statusesValid, Not used (unfinancial lot, or the owner attended or voted electronically), Rejected, Expired or Revoked. Managers holding proxies get a conflict note.
Common problems
Owners say e-voting isn't open.
Electronic voting isn't switched on for this meeting, or the cut-off has passed. They can attend or lodge a proxy.
