Step by step

  1. Step 1: Add an amenityOn Building › Amenity bookings press Add an amenity. Pick the Scheme, give it a Name, set Opens and Closes (default 07:00–22:00) and optionally the Longest booking in hours, a Booking fee, Bond, Description and Rules residents agree to. Leave Staff approve each booking ticked if every booking needs a yes from you. Press Add amenity.
  2. Step 2: Residents request a timeResidents book from the portal. Requests arrive with a blue Portal badge and wait as Awaiting approval, unless the amenity doesn't need approval and the time is free, in which case they're approved and emailed straight away.
  3. Step 3: Use the week stripWeek at a glance shows a tile per day with the number of bookings and how many are waiting for approval. Click a day to see just that day.
  4. Step 4: Approve or declineOn a waiting booking press Approve (the resident is emailed a confirmation) or Decline, with an optional reason that's emailed to them.
  5. Step 5: Book on someone's behalfPress New booking, choose the Scheme, Amenity, Starts and Ends, the person's Name and optionally Lot, Email, Phone and Notes. Tick Approve now to confirm it straight away, then press Book.
  6. Step 6: Watch for clashesA booking that overlaps another request or approved booking for the same amenity shows its time in red with a Clash badge. Approve the one you want; the other can be declined.
Tips
  • Set closing earlier than opening for a window past midnight, or 00:00–00:00 for all day.
  • To stop bookings but keep history, edit the amenity and untick Open for bookings rather than deleting it.

Common problems

It says “That time is already booked.”

Another approved booking holds part of that time. Choose another time, or decline or move the other booking first.

Approve now gives an error.

The time overlaps a request that's still waiting. Save the booking without approval, then approve the one you want.

Is anyone emailed when I cancel?

No. Cancel doesn't email anyone; let the resident know yourself. Decline does email them.
