Running a building: an overview

What each page in the Building menu is for, and how they fit together on site.

Building 4 minPro
What it's forThe Building menu is the on-site side of strata: telling residents things, the front desk's registers, looking after plant and equipment, and keeping a safety record. This guide gives you the map; each page has its own guide.
Who it's forBuilding managers, front desk and concierge staff, maintenance coordinators and strata managers.

Before you start

  • Your persona includes building work (Building manager, Front desk, Maintenance coordinator, Strata manager or Administrator).

Step by step

  1. Step 1: Residents' servicesAnnouncements send notices by email, SMS, push and the portal noticeboard. Amenity bookings take requests for the BBQ, gym, function room or moving lift. Lobby screens show notices on a TV in the foyer.
  2. Step 2: The front deskParcels (with signature on collection), Visitors (with the Parking bays tab), Keys & fobs and the Shift log are quick registers: add a record, then press the button on its row (Collected, Sign in, Sign out, Issue, Returned, Acknowledge).
  3. Step 3: Looking after the buildingAssets & servicing lists plant and equipment with service dates and QR labels. Preventive maintenance turns recurring servicing into scheduled visits for your contractors. Inspections run checklists (also on a phone) and turn issues into work orders. Inventory tracks the store room.
  4. Step 4: Safety and recordsIncidents is the building's safety register. Everything here feeds the AGM pack (Reports › Report builder), which you can print or download for the AGM pack or an owner's records request.
  5. Step 5: Red means actOn every register a row turns red when it needs attention: a parcel waiting more than 7 days, a car over its parking time, a key overdue or lost, a service overdue, a high-risk incident still open. The figures at the top count them and filter the list when you click them.
Tips
  • The Building manager persona (Admin › Team & personas) gives an on-site manager these pages plus work orders, without firm settings or levies.
  • Every register keeps a change history, so deleting a row by mistake can be traced.

Common problems

The Building pages show a Pro tag and open the upgrade page.

They're Premium features. An administrator can upgrade under Admin & help › Billing; every Premium feature is open during the 30-day trial.

I can see the pages but there's no Add button.

Your persona can look but not change building records. Ask an administrator to give you a persona with building work.

Previous and next follow the Building section.
